1. Who you book with

These Accommodation Booking Terms govern room bookings made via ai-summit.at with Stellenberg AI Summit GmbH, Pass-Thurn-Straße 22, 6372 Oberndorf in Tirol, Austria, VAT ID ATU83189924, registered at the Regional Court of Innsbruck under FN 677431 y (“we”, “us”).

We hold room allocations at selected partner hotels in the Kitzbühel region and offer them in our own name. The partner hotel provides the accommodation itself; your contractual counterpart for the booking and the payment is us. Deviating terms of the customer do not apply unless we have agreed to them in writing.

2. Business customers only

Rooms are offered exclusively to businesses, public bodies and other organisations acting in the course of their professional or commercial activity. By booking you confirm that you are acting in that capacity and not as a consumer. Consumer protection rules, including the statutory right of withdrawal for distance contracts, therefore do not apply.

3. Accommodation and Summit tickets are separate

Accommodation and Summit tickets are separate products. They are sold under separate contracts, ordered in separate transactions and invoiced separately, each at its own price. We do not offer them as a combined package, we do not offer an inclusive price, and we do not arrange transport, transfers, car rental or any other travel service together with your room.

Booking a room does not include admission to the Summit. Buying a ticket does not include accommodation.

4. Ticket requirement

At least one person staying in the room must hold a valid ticket for the Executive Winter AI Summit. Other guests sharing the room do not need a ticket. Without a ticket they have no access to the Summit programme, venues or catering.

If no occupant of the room holds a valid ticket, we may cancel the booking and refund the amount paid. We will contact you before we do so.

5. What is included

The price covers the room for the nights stated in your booking confirmation, breakfast, and the local tourist tax (Tiroler Aufenthaltsabgabe) for the guests included in your booking. That tourist tax is settled by us with the hotel and is not charged to you again at check-out. Guests who are not part of the booking are not covered by it.

Not included are the services you order at the hotel yourself, for example minibar, spa treatments, additional meals, drinks, laundry and parking where it is charged, as well as travel to and from Kitzbühel and any transfers. You settle these directly with the hotel.

All prices are total prices in euros. Any VAT is shown on our invoice in accordance with the applicable Austrian rules.

6. Booking and payment

Your booking becomes binding when we confirm it to you by email. The full price is payable at the time of booking, using the payment methods offered at checkout. Rooms are allocated in the order in which bookings are received and only while the relevant allocation lasts.

7. Cancellation, no-show and early departure

Bookings are binding. There is no right of cancellation. No refund is given if you cancel, do not arrive, arrive later than booked, leave earlier than booked or do not use nights you have booked. Our room allocations are committed to the partner hotels well in advance and cannot be released.

If you can no longer travel, please contact us at info@ai-summit.at. We may release a booking as a gesture of goodwill, at our own discretion and only where we are able to pass the room on. Any such decision is made case by case, is not owed to you and creates no entitlement for other bookings.

We recommend that you take out travel cancellation insurance.

8. Changing the names on a booking

You may transfer your booking to other people free of charge, provided the requirement in section 4 is still met and you notify us at info@ai-summit.at no later than 10 January 2027. After that date a name change is possible only if the partner hotel agrees.

9. At the hotel

The hotel’s check-in and check-out times, house rules and own conditions apply on site. The booking is for the number of guests stated in it; additional guests require the hotel’s agreement and may be charged extra. The hotel may ask for a credit card as security for services you order yourself. You are liable to the hotel directly for damage you cause.

10. Changes by the hotel

If a partner hotel is unable to provide the room booked, we will offer you a room of at least equivalent standard in the same area. If no equivalent room can be provided, we will refund the price you paid. Further claims are excluded except in cases of intent or gross negligence.

11. Force majeure and cancellation of the Summit

Neither party is liable for a failure to perform caused by events outside its reasonable control, in particular official orders, epidemics, natural events, avalanche or weather closures, strikes and power or network failures.

If the Summit does not take place, your room booking remains valid and you may use it or transfer it under section 8. We will ask our partner hotels to release the rooms and will pass on to you whatever they release. We cannot promise a refund beyond that.

12. Liability

We are liable without limitation for intent, for gross negligence and for personal injury. In cases of slight negligence our liability is limited to damage that is typical of this kind of contract and was foreseeable at the time of booking, and is capped at the price paid for the booking. Liability for indirect and consequential loss, including lost profit, is excluded in cases of slight negligence.

13. Your data

To make the booking we pass your name, your contact details and the details of your stay to the partner hotel, which needs them in order to provide your room. The legal basis is the performance of this contract. Full details of what is shared, with whom and on what legal basis are set out in our Privacy Policy.

14. Governing law and jurisdiction

These Terms and the contract are governed by Austrian law, excluding its conflict of laws rules and the UN Convention on Contracts for the International Sale of Goods.

The exclusive place of jurisdiction for all disputes arising from or in connection with this contract is the court with subject matter jurisdiction in Innsbruck, Austria.

15. Severability and amendments

Should any provision of these Terms be or become invalid, the validity of the remaining provisions is unaffected. The invalid provision is replaced by a valid provision that comes closest to its commercial purpose. The version of these Terms in force at the time of your booking applies to your contract.
