Ticket Terms and Conditions

1. Organiser and scope
These Ticket Terms and Conditions govern the purchase of admission tickets to the Executive Winter AI Summit (the “Event”) from Stellenberg AI Summit GmbH, Pass-Thurn-Straße 22, 6372 Oberndorf in Tirol, Austria, VAT ID ATU83189924, registered at the Regional Court of Innsbruck under FN 677431 y (“the Organiser”, “we”, “us”).
They apply to every ticket purchase made via ai-summit.at and form part of the contract between the Organiser and the ticket purchaser (“you”). Deviating terms of the purchaser do not apply unless we have agreed to them in writing.
2. Business customers only
Tickets are sold exclusively to businesses, public bodies and other organisations acting in the course of their professional or commercial activity. By completing a purchase you confirm that you are acting in that capacity and not as a consumer.
We do not sell tickets to consumers. If you are unable to confirm business capacity, please contact info@ai-summit.at before purchasing.
3. Application, invitation code and conclusion of contract
Participation in the Event is by application or personal invitation only. Approved applicants receive a personal invitation code which is required to complete a ticket purchase.
The invitation code is issued to a named individual and is not transferable. It is valid for one ticket and can be redeemed once.
If an invitation code is passed on to, or used by, anyone other than the person it was issued to, we are entitled to cancel the resulting booking and to refuse admission. Where we cancel such a booking before the Event, the ticket price paid is refunded. Where the misuse only becomes apparent on site, admission is refused and no refund is due, as the ticket was obtained in breach of these Terms.
The presentation of tickets on our website does not constitute a binding offer. By submitting your order you make a binding offer to purchase. The contract comes into effect when we confirm your order by email or when we execute the payment, whichever occurs first.
We reserve the right to refuse an application or an order without stating reasons. Where an order is refused after payment, the full amount is refunded.
4. Prices, VAT and payment
All ticket prices are stated in euro and exclusive of value added tax. The applicable VAT is shown separately during checkout and added to the total.
Admission to an event is taxed at the place where the event takes place. Because the Event takes place in Austria, Austrian VAT at the statutory rate applies to all ticket purchases regardless of the purchaser’s country of establishment. The reverse charge procedure does not apply to admission tickets. This applies equally to purchasers established outside Austria, outside the European Union, and to purchasers holding a valid EU VAT identification number.
Payment is due in full at the time of purchase. We accept the payment methods displayed at checkout. Card and other online payments are processed by Stripe Payments Europe, Ltd. Where payment by bank transfer is offered, the ticket is only confirmed once the full amount has been credited to our account. The place is held for 7 days from the order date and is released automatically thereafter if payment has not been received; you are welcome to book again if places are still available. For orders placed less than 14 days before the first day of the Event, the full amount must be received before the Event begins.
An invoice is issued to the billing details you provide at checkout. Please make sure these are correct before completing your order. We are unable to reissue invoices with a different invoice recipient after the fact.
5. What the ticket includes
The ticket entitles the named holder to admission to the Event and to the services described on the ticket page at the time of purchase. Travel to and from Kitzbühel, accommodation, and anything not expressly listed are not included.
6. No refunds, transfer to another attendee
Except where expressly provided in these Terms, tickets are non-refundable. Once the contract has come into effect, you are not entitled to cancel the ticket or to a refund of the ticket price, in whole or in part, including where the registered attendee is unable to attend. Because the Event is capacity-limited and our costs are committed well in advance, this applies irrespective of the reason for non-attendance.
Where the registered attendee is unable to attend, the ticket may be transferred to another individual from the same organisation instead. The Event is curated for senior decision-makers, so the replacement attendee must hold a comparable position in terms of seniority and decision-making authority. Transfers require our prior written approval and are free of charge.
Please send transfer requests to info@ai-summit.at no later than 14 days before the first day of the Event, so that badges and on-site records can be updated. Later requests may be accommodated at our discretion.
Tickets may not be resold, auctioned, offered commercially, or used for advertising, competitions or other promotional purposes without our prior written consent.
7. Changes to the programme
The programme, including announced speakers, session formats, timings and locations within the venue, is subject to change. We will inform ticket holders of material changes without undue delay.
The substitution or cancellation of individual speakers or sessions does not entitle you to cancel the ticket or to a refund, provided the Event takes place substantially as advertised in character, scope and quality.
8. Cancellation, postponement and force majeure
If we cancel the Event, we refund the ticket price paid. Any further claims are excluded, in particular claims for travel, accommodation or other expenses incurred by you, except in cases of intent or gross negligence on our part.
If we postpone the Event to a new date, your ticket remains valid for the new date. If you cannot attend the new date, you may cancel in writing within 14 days of being notified of the new date and receive a refund of the ticket price paid.
If the Event cannot take place, cannot take place as planned, or must be interrupted due to circumstances beyond our reasonable control, including but not limited to severe weather, avalanche or snow conditions, closure of access routes or cable cars, natural disaster, fire, epidemic or pandemic, official orders, strikes, terrorism, war, or failure of critical infrastructure, we are entitled to postpone, relocate, shorten or cancel the Event. In such cases we refund the ticket price less any costs already irrevocably incurred by us in the interest of the participants, and further claims are excluded.
9. Admission and conduct on site
Admission requires a valid ticket and personal identification matching the registered attendee. We may issue name badges and require that they be worn visibly throughout the Event.
We may refuse or withdraw admission where the attendee is not the registered ticket holder, where the ticket was obtained in breach of these Terms, or where an attendee substantially disrupts the Event or endangers others. In these cases no refund is due.
The venue rules of the Kitzbühel Country Club and the instructions of our staff apply on site.
10. Photography, filming and recordings
Photographs, video and audio recordings are made at the Event and may be used by us for documentation, press and marketing purposes. Selected sessions may be recorded or streamed.
Partners and sponsors may use recordings of the Event only in reporting on their own participation in it, and only where we have agreed to this in writing. They are not granted any independent right to use recordings of attendees for their own advertising.

11. Liability
We are liable without limitation for damage caused intentionally or by gross negligence and for personal injury. In cases of slight negligence we are liable only for breach of a material contractual obligation, and in that case only up to the foreseeable damage typical for this type of contract.
We are not liable for personal belongings brought to the venue, nor for damage arising from participation in optional side activities, nor for the content of contributions made by speakers, partners or other attendees.
12. Data protection and sharing with partners
Personal data is processed as described in our Privacy Policy.
Sharing your contact details with Event partners and sponsors is optional and never a condition of purchase. During checkout you can choose whether you consent to it. If you do not consent, your ticket and your participation are unaffected in every respect.
This choice is separate from badge scanning on site. Where you present your badge to a partner for scanning during the Event, that is a separate act of sharing, described in our Privacy Policy.
If you do consent, you can withdraw that consent at any time with effect for the future, at no cost, by writing to privacy@ai-summit.at. Withdrawal does not affect the lawfulness of processing carried out before it. Full details of what is shared, with whom and on what legal basis are set out in the Privacy Policy.
13. Governing law and jurisdiction
These Terms and the contract are governed by Austrian law, excluding its conflict of laws rules and the UN Convention on Contracts for the International Sale of Goods.
The exclusive place of jurisdiction for all disputes arising from or in connection with this contract is the court with subject matter jurisdiction in Innsbruck, Austria.
14. Severability and amendments
Should any provision of these Terms be or become invalid, the validity of the remaining provisions is unaffected. The invalid provision is replaced by a valid provision that comes closest to its commercial purpose.
The version of these Terms in force at the time of your purchase applies to your contract.
